Stop chasing people to log their time in Jira

Each workday morning, anyone in your team who logged less than the daily target yesterday gets a short, personal email from Jira. Nobody else sees it, and you never have to send the reminder yourself.

How it works

  1. Pick a group and a target. For example, everyone in developers should log 6 hours a day.
  2. Pick the workdays, the hour, and your time zone. For example, Monday to Friday at 9:00 in America/New_York.
  3. Each workday at that hour, Pinwheel adds up the time each person logged on the previous workday. Anyone under the target gets an email like: "You logged 1.5h on Thursday Sep 24. Your team's target is 6h."

Monday's check looks at Friday. Days that are not workdays are skipped.

Try it before anyone gets an email

Setup (about 5 minutes)

  1. Install Pinwheel Worklog Reminder from the Atlassian Marketplace.
  2. Create one work item for the reminders to come from, for example "OPS-12 Time logging reminders". Jira sends app emails in the context of a work item, so this is required. Anyone who should get reminders needs permission to browse that project.
  3. Open Jira settings → Apps → Pinwheel Worklog Reminder. Choose the group from the list, then the target hours, workdays, send hour, time zone, and the work item key. Click Save.
  4. Click Preview who would be reminded to check the result, then turn reminders on.

Your data

Pinwheel Worklog Reminder runs on Atlassian's Forge platform. It reads worklogs and group members through Jira's API and stores only its settings and a summary of the last run (counts only, no names), in Atlassian-hosted storage. Emails are sent by Jira itself. Nothing is sent to Pinwheel or anywhere else. See the privacy policy.

Questions

Which group should I choose?

The list shows every group on your Jira site. Jira's built-in groups include everyone with access, and their names end with your site name, for example jira-users-yoursite. To remind just one team, create a group for it in Atlassian Administration → Directory → Groups, add the people, then choose it in the app.

Which worklogs count?

Every worklog a person logged against any work item, counted by the day it was started, in the time zone you choose. Time logged late still counts, as long as it is logged before the check runs.

Can I remind several teams with different targets?

Not yet. The app uses one group and one target per Jira site. Email us if you need more.

A reminder did not arrive.

Check that the person is in the group, that their account is active, and that they can browse the reminder work item's project. Jira only emails people who can see that work item. If it still does not work, email support@pinwheelapps.com.
